Introduction and Welcome

The chair thanked everyone for their attendance and declared the meeting open.

Roll call

The meeting was well attended with 3 teams failing to send a representative, these will receive fines in line with the Leagues Fine Tariff. These teams are:
AFC Pogmoor, West Bretton Juniors, and Houghton Main

Minutes of previous meeting held 26/6/23

Gavin read out the minutes and these were accepted.
Proposed by Thornes and Seconded by Worsborough United as a true record.

Management team and Registrar updates

An information sheet was handed out to all representatives and Gavin identified the following and where to find this on the League Website. This included telephone numbers and email addresses of the committee members, League members and registrar’s details, Information around the WhatsApp groups and what they are used for the league rules and resources required that makes the paperwork for secretaries relating to league activities.

Gavin also identified the league age group registrars.

Rule 19 – team colours and youth names on shirts

The rule indicates that no team is allowed to wear black kits, this is due to referees wearing black within the Shefield Hallam areas. This is emphasised in the handbook, supported by Scory rules, and adapted by the league.

Goalkeepers are allowed to wear a black top if there are no clashes with other players etc.

Names on shirts must not be printed as this is a breach of safeguarding and those found with names on shirts will be notified to the FA. All numbers on shorts must be different.

FA WGS – Managers and Assistant Managers – players registrations and Managers ID photos

All Managers ad Assistant managers must be entered on the whole game system, if the whole game system will not allow these to be assigned to the role, then that person will lack the appropriate qualification. The individual clubs are responsible to ensure that all coaches and assistants are qualified.

Questions

Q - If someone is waiting for the DBS to come through can they be in the managers area with a suitable qualified coach.
A - If this person is on the whole game system and has the relevant qualification then this is allowed if the DBS applicant has the appropriate Safeguarding qualification

Q - Peniston asked that they have coaches who have completed DBS, and this is not showing on the Whole Games System
A - Gavin asked for details and he would check with the FA. Please ensure all are entered onto the whole game system, Gavin read out a list of the teams that have coached not on the system, clubs to speak to the club secretary to chase this.

Player registrations

To ensure a smooth registration process please ensure that all new players have the relevant photo ID and that the £3 registration fee paid prior to submitting to the league for approval.

Managers ID card

No application has been made to the league it is much easier to add the photo of the manager on whole game system and this will then show on the teams lists.

League Website updates – Managers and Contact Numbers

The website is not fully up to date with all club contacts, management team and league officials contact details. Please note that contacting committee members must not be done before 9am and after 8pm unless agreed with the person beforehand.

WhatsApp Groups – fixtures – results-team sheets

These groups are for sharing information only and the league appreciate the cooperation from everyone regarding this. It is used for sharing match information and not to be used to discuss issues or fall outs with individuals, this must be done through the official channels.

AOB

Heading rule has not been made mandatory yet. So heading is still allowed. The rules around this have not been classified and no decision has been made or decision on what is expected at this time.

The pass back rule is mandatory, however if both teams agree and the referee agrees this can be waivered.

U8s all fixtures are up to the end of October, and these are based on last year league position.

After this time, the 1st cup competition based on current position within the current leagues will start. This will again be based on a league basis whereby teams will play each other once, a further update on Cups will take place nearer to the time.

The use of photos and videos are not allowed unless everyone at the ground signs a disclaimer and grants permission for this.

Relaxations – each team is allowed 2 per season and to have these granted 28 day’s notice must be given. This by emailing either the league secretary or the age group registrars.

Galas cannot and must not be entered during the season, permission will not be granted to enter any gala etc that is not sanctioned by the FA.

The season will end on the 19th May.
